The Challenge

Rapid institutional growth brought both opportunity and complexity. While course offerings and enrolments had significantly increased, core systems struggled to keep up. Departments used disparate platforms: student records were siloed from admissions data, donor information lived in isolated databases, and marketing relied on outdated tools for outreach.

The Objective

The goal was to modernise the institution’s digital infrastructure by implementing Salesforce as a centralised platform to:

The Logic Mount Solutions

Logic Mount undertook a phased, agile implementation approach, engaging stakeholders from admissions, development, marketing, and IT to define key requirements and pain points. Based on these insights, we delivered a holistic Salesforce ecosystem tailored to the education sector.

Key components of the solution included:

  • Sales Cloud & Nonprofit Success Pack: We configured Salesforce Sales Cloud to manage the entire student lifecycle from prospect to graduate. Logic Mount customised lead and opportunity stages to mirror the academic journey, allowing admissions teams to track applicants, schedule interviews, and send offer letters directly from the platform. Nonprofit Success Pack (NPSP) was implemented to manage donor relationships, pledges, and contributions, ensuring seamless integration with fundraising campaigns.
  • Experience Cloud: We launched a branded Experience Cloud portal where students can submit applications, upload documents, monitor their application status, and access course materials. Faculty can track academic performance, while alumni can join a private community, engage with events, and make donations online.
  • Marketing Cloud: We designed personalised student journeys based on academic interests, location, and stage in the enrolment process. Automation workflows were created for open days, application reminders, and onboarding sequences. Email templates were dynamic, using behavioural data and CRM segmentation to drive engagement.
  • Einstein Analytics: Logic Mount configured Einstein Analytics to provide leadership with visual dashboards tracking student applications, retention rates, alumni engagement, and fundraising performance. AI-driven insights help anticipate student drop-off points and identify trends in donor activity.
  • Custom Integrations: Using custom APIs and middleware, we integrated Salesforce with the institution’s legacy student information system, finance platform, and third-party LMS. This ensured real-time data sync and reduced the need for duplicate data entry across platforms.
  • Training and Change Enablement: Logic Mount conducted hands-on training across departments, ensuring staff felt confident navigating the new ecosystem. We continue to provide tailored onboarding as the system evolves with new functionality.

The Stages

Discovery & Planning

We facilitated workshops across departments to understand current workflows and future ambitions. Persona mapping and stakeholder interviews provided the foundation for our technical blueprint.

Configuration & Development

Our team customised Salesforce Sales Cloud and NPSP to reflect institutional processes. Custom objects were created for student records, course preferences, and funding history. Apex triggers and Visualforce components were used to extend Salesforce functionality where needed.

Marketing Cloud Deployment

Marketing automation was rolled out to support student recruitment and alumni outreach. Journeys were configured for prospective students, enrollees, and donors, with real-time performance monitoring.

Portal Launch (Experience Cloud)

The student and alumni portals were developed using Experience Cloud. Features included secure logins, document uploads, event registration, donation forms, and discussion boards.

Integration Phase

Data exchange between Salesforce and external systems (SIS, LMS, and accounting tools) was established with secure, bidirectional sync. This enabled real-time student progress tracking and automated reconciliation of payments and donations.

Training & Support

We conducted role-specific training sessions for admissions officers, faculty, development staff, and marketing teams. An on-demand knowledge base and regular check-ins ensure ongoing support and user adoption.
